Every document in Ettex starts private to you. Sharing is a deliberate step: you either invite specific people by email, or you switch the document to a link that anyone can open. This guide covers both, plus what each access level actually allows.

Invite specific people

Inviting by email is the safest option — only the addresses you list can open the document, and you can change or revoke any of them later.

  1. Open the document you want to share.
  2. Open the document menu and choose Share. In the editor you can also use the Access tab in the right-hand sidebar — it shows the same list of people.
  3. Start typing a name or an email address. Ettex suggests members of your teams and contacts from your CRM; if the address is not in either list, the dropdown offers “Invite by email”.
  4. Pick the access level for that person — Editor, Commenter or Viewer.
  5. Press Invite. You will see an “Invitation sent” confirmation with the address and the level you chose.

If you invite someone who already has access, Ettex tells you instead of adding a duplicate entry.

What each access level allows

  • Editor — can change the content, invite other people and export the document.
  • Commenter — can read the document and leave comments, but cannot change the text.
  • Viewer — read-only access.

You can change someone’s level at any time from the same list: pick a different role next to their name. Removing a person from the list revokes their access immediately.

Share with a link

When you need a document open to a wider audience — a proposal for a client, a public policy page — switch general access from Restricted to “Anyone with the link”.

  1. Open Share on the document.
  2. In the General access row, switch Restricted to “Anyone with the link”.
  3. Choose what link visitors get — Viewer, Commenter or Editor. Viewer is the default and the right choice for most cases.
  4. Press Copy link and send it wherever you need.

Restricted means exactly that: people who are not on the list get nothing, even with the URL. Switching back to Restricted invalidates the shared link for everyone who is not individually invited.

Where sharing state lives

Access is stored with the document itself and syncs through your relay when you are online, so the same list appears on every device you sign in from — and in the header of the document, next to the avatars of people who currently have access.

Sharing activity is recorded in the document’s activity feed, so you can see who was given access and when, without keeping notes elsewhere.

Comments and review

Sharing with a Commenter is what makes review work. Comments live in threads next to the text: anyone with access can start one, mention a colleague and reply. Threads sync through the same channel as the document, so a comment left on a laptop is there on a phone.

A resolved thread is not deleted — it is closed and can be reopened, but only by the person who started it or by the document owner. That rule exists so a reviewer cannot quietly close someone else’s objection.

Sharing other things

The same Share action appears wherever documents live: in the documents list, in Notes, in PDF, in Files and on calendar events. You do not have to open an item to share it — use the row menu in the list.

For files in Storage, sharing works the same way, which is the simplest route for anything you are not editing in Ettex — a scanned contract, a design file, a folder of photos.

Working offline

Ettex is local-first: the document itself stays on your device and keeps opening without a connection. Invitations and access changes are the part that needs the network — they are queued and applied when you are back online, so it is worth confirming the “Invitation sent” toast before you close the tab.
