People who want to edit a PDF document online almost never want the same thing. One needs to type into a form, one needs to cross out a clause, one needs to swap page three, and one needs to change a price that is baked into the page. The first three take a minute in almost any tool. The fourth is the one that produces mangled fonts and a document that looks wrong on someone else's screen.

Before you edit anything: if the PDF came from a document you still have — a contract in a word processor, an invoice from a billing tool — change the source and export again. Editing the PDF is the route you take when the source is gone, not the default. For a form that has to be completed and kept exactly as signed, the w-4 form is the standard example of why flattening matters.

Most online PDF editors upload the document to a server to process it. For a menu or a leaflet that is irrelevant. For a payslip, a contract, an ID scan or anything with customer data, it is a decision worth making deliberately — check what the service says about retention, and prefer a tool that processes locally when the content is sensitive.
Filling, annotating and page operations are free in most tools. Editing baked-in text and converting to Word are the features usually reserved for paid tiers.
The original font is not embedded or not licensed for editing, so the tool substitutes another. Matching size and spacing helps, but a visible mismatch usually means editing the source is the better path.
Run OCR first to create a text layer, then edit. Accuracy depends heavily on scan quality, and tables and handwriting rarely survive.
Only if you know where the file goes. For sensitive documents, use a tool that processes on your device rather than uploading, and check retention policies before you send anything.
Editing a signed document breaks the signature, which is by design. Make the change on an unsigned copy and have it signed again.
Most of the time, editing a PDF online means filling a form, marking it up, or moving a page — all quick and all safe. Save the hard rewrite for when the original document really is gone. Where the file has to be kept exactly as signed, that is a document version control requirement, not a formatting one.
