Safety data sheet management: keeping the library current and findable

Safety data sheet management fails in two predictable ways — the sheet on file is an old revision, and nobody can find it in the ninety seconds that matter.

Safety data sheet management is the work of keeping a current safety data sheet for every hazardous substance on site, accessible to the people who handle it. The sheet comes from the supplier in a standard sixteen-section format, and the employer’s duty is not to write it but to hold it, keep it current and make it available — which sounds administratively trivial and is the reason inspectors find so many failures.

Older documentation still calls them material safety data sheets, and the term MSDS survives in everyday use, but the globally harmonised sixteen-section SDS is the current form. If your file contains a document with a different structure, it is old enough to be worth replacing.

The two failures that matter

  • The revision is stale. Suppliers reissue sheets when a classification, ingredient or hazard statement changes, and the reissue does not arrive by itself. A binder assembled three years ago is a binder of historical documents.
  • Nobody can find it. The sheet exists, on a shared drive, in a folder structure that made sense to whoever built it. In an incident, the person who needs section four is not the person who filed it.

What working safety data sheet management looks like

  • One entry per product actually held on site, tied to where it is stored and who uses it.
  • The supplier, the product identifier and the sheet’s revision date, visible without opening the file.
  • A review cycle — annually is common practice — plus a trigger to request a fresh sheet whenever a product is reordered from a new supplier.
  • Removal of products no longer held, so the library is an inventory rather than an archive.
  • Access without a login for the people who need it in an emergency, including out of hours.
  • A retention rule for superseded sheets, which are worth keeping precisely because exposure claims are made years later.

Print or cache the sheets for substances stored where the network is unreliable. A library that lives only online is unavailable exactly when a spill has taken the power out, and that is the scenario the duty exists for.

The sheet is an input, not the assessment

A common and expensive misunderstanding is that holding the supplier’s sheet discharges the employer’s duty. It does not. The sheet describes the substance in general; the assessment describes what happens when your people use that substance in your process, in your quantities, with your ventilation. Where the library lives
