GS1-128 label: the carton label that ties the box to the file

The label is not a shipping sticker. Its serial number is the key that lets a retailer receive a carton without opening it — and a mismatched one stops the pallet.

A GS1-128 label — still widely called a UCC-128 label — is the barcode label applied to each shipping carton in retail supply chains. Its central element is a serial shipping container code, an eighteen-digit number unique to that carton, which appears both on the label and inside the advance ship notice sent to the retailer.

That correspondence is the whole point. When the carton arrives, the receiver scans the barcode, the system finds the matching entry in the ASN, and the contents are received without anyone opening the box. Everything about the label’s format exists to make that scan reliable, which is why retailers specify it so precisely and reject shipments that deviate.

What is on a GS1-128 label

  • The serial shipping container code, encoded as a barcode and printed as human-readable digits beneath it. Unique per carton, and not reused within the period the standard specifies.
  • Ship-from and ship-to addresses in the retailer’s required layout.
  • The purchase order number and, where required, the item and quantity.
  • Application identifiers in the barcode telling the scanner what each data element is.
  • Placement on the carton as the retailer specifies — usually a defined zone on a defined face, away from edges and seams.
  • Print quality sufficient to scan first time, which is where thermal printers with worn heads and low-quality label stock quietly cause failures.

The serial number is not decorative

Suppliers sometimes generate the label from one system and the ASN from another, or reuse serial numbers across shipments because nobody said not to. Both break the mechanism: the receiver scans a code that either is not in the file or is in two files. Generate the codes once, from a single source, and record which shipment each was used in — the number is a key in somebody else’s database, and duplicates cause exactly the problem duplicate keys always cause.

Test with the retailer before the first live shipment. Most run a label and ASN certification process, and passing it costs a week; failing it in production costs deductions on every carton until it is fixed.

Print quality is a compliance issue

A label that scans on your bench and fails on a moving conveyor is a failed label. The recurring causes are mundane: printer heads that have drifted, direct thermal stock that fades in a warm trailer, labels applied over a carton seam so the barcode bends, and shrink wrap over the barcode. Verify with a scanner at the point of application rather than trusting the print job, and treat a rise in scan failures as a hardware maintenance signal rather than a data problem.

Keeping the specification and the evidence

Each retailer publishes its own label specification, and they differ enough that a single template does not serve. Plainly: this is documents and records, not a labelling or warehouse system. Serial code allocation, print automation and scan verification belong in a warehouse management or EDI product; what this covers is holding the right specification and being able to show what you printed.
